Registration and Policy

We have good reasons to believe that a real EFTS, with all lectures and labs here in Besancon, is the good choice, and of course a safe choice. This is explained in the Program page. Accordingly, the following policy and instructions apply to the real EFTS meeting. In the unfortunate case that the meeting has to go virtual because of the health crisis, a different policy applies. This is explained on the bottom of this page.

A limited number of 36 places (24+12) is available. The first 24 have access to all lab sessions, the additional 12 have access only to ≈1/2 labs at a reduced price. First arrived is first served. The “less labs” registration is intended for late arrivals as alternative to waiting until next year, rather than being an option that one would chose at will. However, if you have a good reason to go for “less labs,” please ask.

The EFTS is a nonprofit initiative intended to provide high level training in time and frequency to PhD students, engineers, and researchers. Having no legal personality, we rely on CNRS and on local universities (Besancon, France) for management, classrooms, lab space, etc. The EFTS is possible only thanks to the good will and to the voluntary work of numerous people who do it. The appreciation by the community that goes with the scientific and cultural value of the seminar is the one and only reward. By contrast, the burden for some of us is quite large. Our policy follows this statement.

Pricing

Business

The regular price for anybody, unless he/she falls in the categories described below.

Academic

Full time employee in a nonprofit enterprise, typically accredited university, gov labs, or international labs. It is required that the main working address and the email address refer to the institution.

PhD Student

Full time PhD student in accredited university, or Gov/Int’l Lab. It is required that the main working address and the email address refer to the institution.

Several Participants from the Same Company or Lab

A reduced rate of 100 E applies from 2nd on, only business/academic rate, early bird registration. There is no reduction for students, nor after the early-birds deadline. The maximum number per Company or Lab is 4. If a few people of your Company or Lab need this training, we recommend to schedule 2-3 per year, instead of sending 4 at once.

Hobbyists and Retired Persons

Hobbyists and retired are welcome, at reduced rate (same as PhD student). However, because these persons do not fall in our priorities, registration and access to labs are subject to the availability. For this reason, the confirmation may be delayed.

Restrictions which apply to reduced-rate invoices

The invoice is not intended for financial books or for tax declaration of a business. Consultants and single-person companies are no exception.

Number of Participants and Lab Sessions

The number of participants is limited by the capacity of the labs:
• First group, 24 places with full labs (tentatively 12 H)
• Second group, 12 places with reduced labs (tentatively 5-6 H).

As a general policy, we open the second group when the first is full (first arrived first served), and we upgrade from 2nd to 1st if somebody cancels. Should you have a good reason to register in the second group, please contact us and explain.

Local participants / Participants locaux

The following paragraph is written in French because only people in our campus are concerned.
Un petit nombre de personnes des laboratoires publics bisontins est accepté. Le prix réduit inclut cours, repas de midi, visite au musée et repas social. L’accès aux travaux pratiques est possible dans la limite des places disponibles, mais rien n’est garanti. Il est demandé de se prêter à de petites tâches d’organisation dans un esprit d’entre aide entre collègues. Les personnes affiliées aux laboratoires publics bisontins ne peuvent pas être acceptées dans les autres catégories (Academic ou PhD Student).

Handicap

The EFTS takes place in the buildings of a French Gov university, thus all rooms are in principle accessible as ruled by the law. Laboratory sessions may bring specific difficulties, we will do our best. Please inform us.

What if you cannot travel because of the COVID-19 health crisis

Albeit we expect that travel restrictions are almost gone by the end of June, a small number of participants may still be affected based on the rules for specific Countries. The plan is to have all the lectures accessible online, and the lab sessions replaced with pre-recorded videos. This is better explained in the Program page. The price policy will be decided later.

Privacy

Data Stored in our Archive

All the registration data (names, affiliations, business email, private email, phone number (optional) and the “Introduce Yourself” form) are stored in the EFTS archive, accessible to a tiny number of people at the heart of the EFTS organization (actually Chairman 2-3 coworkers, all of them permanent employees of government university or lab).

Data Shared with the EFTF

We share your coordinates (name, affiliation and email) with the EFTF. Let’s explain why. The European Frequency and Time Forum http://eftf.org is a no-profit annual conference on the same domain of ours (the difference between a regular conference and a seminar should be obvious). The Permanent Secretariat is at the SFMC (non-profit Company), hosted by the Observatory of Besancon, just across the road in the same campus. We work in collaboration with the EFTF, and we share the database of addresses for newsletters (and the burden to maintain it).

Data Shared with Instructors and with other Participants

Networking (getting new colleagues and friends) is an important part of the seminar. For this reason, name, affiliation, email, phone number (optional) and the “Introduce Yourself” form are shared with all participants and instructors of the current year. They are not allowed to further share your data without your permission. In particular, forwarding data to any kind of money-making entity (for example, the Marketing Department of your Company) is illegal.

Private Email and Phone

We encourage you to give your private email too (phone may not be important). Should you change job, this is the one and only means to keep in touch. For the same reason, please consider giving your private email also to the new colleagues you met at the EFTS.

In the worst case there are severe travel restrictions, or traveling is unsafe. Everything goes online, with little or no change to the original timetable. The lectures are live performances, or pre-recorded videos followed by a live discussion. The labs sessions are pre-recorded demos, with several time slots for discussion allocated during the show. This is explained in the Program page. Should this happen, the EFTS will be accessible at a very low cost. However, it cannot be free. In part, this is due to the re-use of copyrighted material in the lecture, which requires a control of the audience. We will provide information later.
