Registration, Pricing and Policy

Registrations start at the beginning of February. There is no online registration, everything is managed by email, contact us at frequency-time-seminar [at] femto-st.fr.

Early payment is required at the time of registration, let us explain why. The EFTS is a non-profit initiative, largely based on volunteer work and public money, that has a capped number of places set by the capacity of labs. We want to spend the resources deployed, leaving no empty places. Unlike travel agencies, we don't propose last-minute offers. So, no registration is valid without payment, and at some point the place may be lost under the pressure of other demands.

A limited number of 36 places is available, first arrived is first served.
The first group (24 places) has access to all lab sessions (tentatively 12 hours).
The second group (12 places) have access only to ≈1/2 labs at a reduced price. The “fewer labs” option is intended for late arrivals as an alternative to waiting until next year, rather than being chosen at will. There is no “no labs” option officially proposed. However, if you have a good reason to go for “fewer labs” or “no labs,” be free to explain and ask for an exception.

There is a maximum of 4 participants from the same Institution (see below).

All participants must be clearly identified, and we must be able to contact them in person, at least by email.

Under no circumstances, we register or reserve a seat under the name of an institution if the seat is intended for a participant to be identified later, or for a participant not having a working email address. Please, refrain from asking for an exception.

Restrictions apply to some Countries and to local participants, as explained under “Policy” later in this page.

Prices include classes, labs, visits, learning material, lunches, coffee breaks, events, and social dinner. Travel, accommodation etc. are at your charge.

Experience shows that all the available places are taken well before the early bird deadline and that, sadly, every time there are people who have to wait for the next year. So, if the training is important for you, please register as soon as you can.

This is the regular price for everybody, unless he/she falls in the categories described below.

Full-time employee in nonprofit enterprises, which are typically accredited universities, gov labs, and international labs. Post-doctoral fellows fall in this category, even in the case they are identified as “students” by the hosting institution.
It is mandatory that email and the address we print on the invoice refer to the non-profit institution. Our invoice shall not be used for financial/tax books of a for-profit enterprise.

Full-time PhD or MS student registered in an accredited university or Gov/Int'l Lab. Part-time students and students receiving salary/scholarship from a for-profit enterprise do not fall in this category. It is mandatory that email and the address we print on the invoice refer to the education institution. Our invoice shall not be used for financial/tax books of a for-profit enterprise.

Hobbyists and retired are welcome. Student rate applies but, because these persons do not fall in our priorities, registration and access to labs are subject to availability after others are served. The invoice shall not be used for financial books or tax reduction.

Doctoral students, postdoctoral fellows, engineers and researchers from our Campus in Besançon, you are welcome.

Helping the preparation of the lab sessions is the one and only option. Indeed, working with our team is a more valuable experience than just attending the lab sessions as a regular participant. Please ask Enrico, each case is considered separately depending on profile, interests and motivations.

The number of participants is limited by the capacity of the labs

• First group, 24 seats with full labs (tentatively 12 H)
• Second group, 12 seats with reduced labs (tentatively 5-6 H)
• First arrived, first served

In practice, we open the second group after the first group is full. Should a participant of the first group cancel, another from the second group is proposed to upgrade, first registered is first served.
Should you have a good reason to register in the second group, please contact us and explain. Generally, there is no “no labs option,” but exceptions can be made upon request for specific reasons.

A reduced rate of 100 E applies from 2nd to 4th, only for business/academic rate, only early bird registration. There is no discounted rate for students, and no discount after the early-birds deadline. We accept maximum 4 participants per year from the same Company or Lab. Better scheduling 2-3 per year instead of sending 4 at once.

People from some Countries — the list, not disclosed here, is tiny — may not be allowed to attend the EFTS. This restriction is in force if one or more of the following items relate to the banned Country: (i) citizenship, (ii) residence, (iii) working site, (iv) Company/Lab headquarters, (v) origin of the payment. Applicants may be asked to declare all their citizenships and affiliations. Incomplete or incorrect information may result in denial of registration, in cancellation of existing registration, and in any other applicable consequence.

All data we collect [name, affiliations, business email, private email (optional), phone number (optional), etc.] are stored in the EFTS archive, accessible to a tiny number of people at the heart of the organization. Actually, only the Chairman and 2-3 coworkers have access, all of them are permanent employees of government university or lab.

We need to share your name, affiliation and email with the EFTF. Let's explain why. The European Frequency and Time Forum https://www.eftf.org/home is a nonprofit annual conference on the same domain – the difference between a conference and a training seminar should be obvious. The Permanent Secretariat is at the SFMC (nonprofit Company), hosted by the Observatory of Besançon, in the same campus just across the road. We work in tight collaboration, and we share the database of addresses for newsletters, and the burden to maintain it.

Getting in touch with new colleagues and friends is an important part of the seminar. For this reason, name, affiliation, email, and phone number (optional) are shared with all participants and instructors of the current year. Nobody is allowed to further share your data without your permission, not even inside one's own university/lab or company.

We encourage you to communicate your private email too, so that we can keep in touch even if you change affiliation. For the same reason, please consider giving your private email also to the new colleagues you met at the EFTS.

Lectures and labs are at SUPMICROTECH (formerly ENSMM), a French Gov university. Virtually all rooms are accessible as ruled by law. Some lab sessions and visits may bring specific, inevitable difficulties. Please tell us about yourself, we will do our best.
